We offer a comprehensive range of personalized services, incorporating psychotherapy, psychopharmacology, and groundbreaking treatments like dTMS and ketamine for patients with treatment-resistant depression, anxiety, bipolar disorder, attention disorders, and OCD. As the Administrative Office Manager, you will play a crucial role in supporting our board-certified psychiatrists and vibrant team members to deliver exemplary patient care in a compassionate and comfortable environment dedicated to one-on-one, confidential support.
Position Summary:
As the Administrative Office Manager, you will provide high-level support to executive management, including heavy calendar management and successful coordination of patient/doctor visits and clinical treatments. Acting as a liaison between executives and other departments within the organization, you will exercise independent judgment in resolving administrative problems, prioritize and manage multiple projects simultaneously, and handle various tasks with little or no supervision.
Responsibilities and Duties:
- Manage the master calendar and schedule a variety of treatments and appointments, requiring interaction with internal and external clinical staff, practitioners, patients, and administrative staff.
- Handle incoming and outgoing phone and electronic communications on behalf of clinical staff and practitioners, routing calls efficiently.
- Independently create well-organized, grammatically correct memos and reports for distribution to various departments.
- Assist with special events planning and utilize software applications for data and report management.
- Maintain a high level of confidentiality in all aspects of the role.
- Exercise administrative judgment and take responsibility for decisions impacting staff, patients, and practitioners.
- Oversee billing, copays, insurance claims, and related tasks.
- Perform other duties as assigned.
Qualifications:
- Associate’s degree required, Bachelor’s degree preferred.
- Two or more years of experience as an executive administrative assistant, office manager, or office director, preferably in a medical setting.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
- Knowledge of EMR systems preferred.
- Demonstrate interpersonal skills and business vocabulary proficiency to effectively represent the executive and the company to external parties.
- Excellent interpersonal, oral, and written communication skills.
- Excellent writing, proofreading, and editing skills.
Salary:
Commensurate with experience.
Annual Salary of 60-70K for the right individual.
